Terms of Service
Last updated: April 14, 2026 · Effective: April 14, 2026
Plain English: By using QwikPass, you agree to use it lawfully and respect the security of other residents. We provide the platform but your estate management company is responsible for the rules of your estate. Payments are processed by Paystack. These terms are governed by Nigerian law.
1. Acceptance of Terms
By downloading, installing, or using the QwikPass application or any QwikPass service ("Service"), you agree to be bound by these Terms of Service ("Terms"). If you do not agree, do not use the Service.
These Terms form a legally binding agreement between you and Coretrix Technologies Limited ("QwikPass", "we", "us"), operators of the QwikPass platform. You must be at least 18 years old to use the Service.
2. Description of Service
QwikPass is an access management platform providing these product lines:
- Residential Estates: Digital gatehouse access, QR/passcode gate passes, service charge management, SOS emergency alerts, and per-transaction financial records.
- Corporate Offices: Visitor management, incident recording, and employee access control.
- Events Management: Professional guest QR pass verification and real-time attendance tracking.
QwikPass is a technology platform. Your estate's management company is responsible for enforcing the rules, bye-laws, and regulations of your estate. QwikPass does not set those rules.
3. User Accounts and Roles
Access to the Service is role-based:
- Residents / Delegates: Registered occupants of enrolled estates and their authorised representatives.
- Estate Administrators: Authorised representatives of the estate management company.
- Gate Guards: Security personnel authorised by the estate management company.
You are responsible for maintaining the confidentiality of your login credentials. You must notify us immediately at support@qwikpass.ng if you suspect unauthorised access to your account.
You may not create accounts under false pretences, impersonate another person, or share your account credentials.
4. Visitor Passes and Gate Access
- You are responsible for the visitors you admit to your estate using QwikPass-generated passes.
- You must not generate passes for persons you know intend to cause harm or violate estate rules.
- Once-off passes expire after first use. Timed passes expire at the end of the validity period.
- Your estate management company may revoke or freeze passes at any time in accordance with estate rules.
- Gate guards and the system validate passes in real time. QwikGuard works with no internet at the gate. Every entry syncs when the connection returns.
5. Payments and Service Charges
- Service charges are set by your estate management company, not by QwikPass.
- All payments are processed by Paystack, a licensed payment service provider. By making a payment, you also agree to Paystack's Terms of Service.
- Platform commission: Coretrix retains a 1% platform commission on all service charge and maintenance payments. This is automatically deducted at the gateway level.
- Payment Processing Fees: For payments processed via Paystack, a tiered transaction fee is applied (typically 1.5% + ₦100 fixed fee, subject to gateway caps). Residents will see a transparent grossed-up total before finalizing any transaction.
- Utility Payments: Electricity, Cable TV, Internet, and Airtime services are provided through our integration with VTPass. These transactions are subject to VTPass's uptime and provider-specific convenience fees where applicable.
- Estate subscriptions: Estates are billed ₦2,500 per unit per month, billed quarterly, for platform usage. The rate reduces above fifty units. A minimum of ₦75,000 per cycle applies.
- Arrears: Management may automatically freeze visitor pass generation for any units with service charge arrears exceeding 90 days.
- Receipts are generated automatically and available within the app.
- Refunds for service charges are subject to your estate management company's refund policy. QwikPass platform fees are non-refundable once a transaction is completed.
- All amounts are displayed in Nigerian Naira (₦).
6. Emergency SOS Feature
- The SOS feature is intended for genuine emergencies only.
- Activating SOS will share your approximate location with your estate's security team.
- Misuse of the SOS feature (false alarms) may result in account suspension and is a violation of these Terms.
- QwikPass does not provide direct emergency services. Always call 112 (Nigeria Emergency) for life-threatening situations.
7. Prohibited Conduct
You agree not to:
- Use the Service to harass, threaten, or harm other users or estate residents
- Attempt to gain unauthorised access to any part of the platform or another user's account
- Reverse engineer, decompile, or tamper with QR codes, passcodes, or the rotating codes behind them
- Use automated scripts, bots, or scrapers on the Service
- Upload malicious code, viruses, or content that infringes third-party intellectual property
- Use the Service for any unlawful purpose or in violation of Nigerian law
- Attempt to bypass gate access controls, falsify visitor records, or commit fraud
Violations may result in immediate account suspension and referral to law enforcement authorities.
8. Intellectual Property
All software, design, trademarks, and content within the QwikPass platform are owned by QwikPass Technologies or its licensors. You are granted a limited, non-exclusive, non-transferable licence to use the Service for its intended personal purpose. You may not copy, modify, distribute, or commercialise any part of the Service without our written permission.
9. Disclaimer of Warranties
The Service is provided "as is" and "as available" without warranties of any kind, express or implied, to the maximum extent permitted by Nigerian law. We do not warrant that the Service will be uninterrupted, error-free, or that all connectivity-dependent features will function during network outages. QwikGuard works with no internet at the gate. Every entry syncs when the connection returns.
10. Limitation of Liability
To the maximum extent permitted by Nigerian law, QwikPass shall not be liable for any indirect, incidental, special, or consequential damages arising out of your use of the Service. Our total aggregate liability for any claim arising out of these Terms shall not exceed the amount you paid to QwikPass in the three months preceding the claim.
QwikPass is not liable for the actions or omissions of your estate management company or gate guards.
11. Indemnification
You agree to indemnify and hold QwikPass, its officers, employees, and partners harmless from any claims, losses, damages, or expenses (including reasonable legal fees) arising from your use of the Service in violation of these Terms or applicable law.
12. Termination
- By you: You may delete your account at any time from the Profile section of the app. Your data will be deleted within 30 days, subject to legal retention requirements.
- By us: We may suspend or terminate your account for material breach of these Terms, non-payment, or fraudulent activity, with or without prior notice.
- Upon termination, your right to use the Service ceases immediately. Sections 8–11 survive termination.
13. Changes to These Terms
We may update these Terms from time to time. We will notify you of material changes via in-app notification at least 14 days before the new Terms take effect. Continued use of the Service after that date constitutes acceptance of the updated Terms.
14. Governing Law and Disputes
These Terms are governed by the laws of the Federal Republic of Nigeria. Any dispute shall first be attempted to be resolved through good-faith negotiation. If unresolved within 30 days, the dispute shall be submitted to mediation under the Lagos Multi-Door Courthouse (LMDC) rules. If mediation fails, the dispute shall be resolved by the courts of Lagos State, Nigeria.
